How to make and use moving box labels
- Add your rooms. List each room and the number of boxes it will have. You can bring in the counts from the moving box calculator.
- Choose numbering and flags. Pick one running number or a code per room, add contents if you want, and mark boxes as fragile, heavy, this side up or open first.
- Pick a label size. Choose a sheet that fits your adhesive labels, or full-page labels for large boxes, and check the preview.
- Download and print. Download the label PDF and print it at 100% scale, without "fit to page", so the labels line up with the sheet.
- Stick, pack and check off. Put a label on the side of every box and use the inventory list to check each box off when it arrives.
Colors and codes for each room
Color is quick to read from across a room; the code and the pattern make the same label work on a black and white printer. The generator takes these in order, so the first room is blue, the second orange, and so on, and repeats after 10 rooms.
| Order | Color | Pattern |
|---|---|---|
| 1 | Blue | solid |
| 2 | Orange | stripes |
| 3 | Green | diagonal |
| 4 | Purple | dots |
| 5 | Yellow | grid |
| 6 | Red | bars |
| 7 | Teal | solid |
| 8 | Pink | stripes |
| 9 | Brown | diagonal |
| 10 | Gray | dots |
Label sizes this page prints
The sheet layouts match common adhesive label sizes. Check your package for the size, and print at 100% scale (not "fit to page"). If the first sheet is partly used, set "start at label" and the generator skips the labels you already peeled.
| Sheet | Paper | Notes |
|---|---|---|
| 2 × 4 in, 10 per sheet | US Letter | fits common 5163-size sheets |
| 3⅓ × 4 in, 6 per sheet | US Letter | fits common 5164-size sheets |
| 99 × 68 mm, 8 per sheet | A4 | A4 sheets, 2 columns by 4 rows |
| Full page, 1 or 2 per page | Letter or A4 | For wardrobe boxes, furniture and big boxes |
Flags that help the movers
- FRAGILE: filled black so it stands out even from across the truck.
- THIS SIDE UP: with an arrow, for boxes that must stay upright.
- HEAVY: tells you to lift with care or to ask for help.
- OPEN FIRST: marks the box with the bed linens, kettle and chargers.
Numbering styles
With per-room codes, the kitchen is KIT-01, KIT-02 and so on, and each room restarts. With one running number, boxes run 1 to N across the whole move, which is easier to count at the truck door. Turn on “Box 3 of 12” to see at a glance whether a box is missing. The inventory list includes both the code and the running number.
Questions people ask
How do I make printable moving box labels with room names?
Add each room and how many boxes it has, then download the PDF and print it. Set the room names and box counts above, choose a label size, and the generator numbers every box, colors each room and adds the room name. Print on plain paper and cut, or on adhesive sheets, then stick one label on the top and one on the side of each box.
What color for each room?
Use one color per room and keep it the same on every box from that room. The generator assigns 10 print-friendly colors (blue, orange, green, purple, yellow, red, teal, pink, brown, gray) in order, and adds a letter code and a small pattern, so the rooms are still easy to tell apart on a black and white printer or for someone who cannot tell colors apart.
How should I number moving boxes?
Number every box once, and add the room: either 1 to N across the whole move, or a code per room such as KIT-03 for the third kitchen box. Add "of N" if you want to see at a glance that every box arrived. Per-room codes are easier to unload by room; one running number is easier to count. Keep the matching inventory list so you can check each box off.
What label size fits a moving box?
A 2 by 4 inch label (10 per sheet) fits the side of almost any box and is the size most people print. Use 3⅓ by 4 inch labels if you want to write more, and full-page labels for large boxes, wardrobe boxes and furniture. Put the label on the side, not only the top, because stacked boxes hide their tops.
